How to use Boardcast

Boardcast is a real-time collaborative whiteboard โ€” share and sync text, code, and notes across any device, instantly. No installs, no plugins. Just a URL.

Create a session

Click "Generate Session" on the home page. You'll be given a unique session and taken straight to your whiteboard โ€” no account needed.

Share the URL

Hit "Copy URL" in the toolbar, or use Ctrl+Shift+C. Send it to anyone โ€” they open it in a browser and they're in, instantly.

Type and sync

Everything you type appears on all connected devices in real time. Use "Copy Text" to grab the full content to your local clipboard in one click.

Join an existing session

Use the "Join a session" tab on the home page and enter the session name or phrase. Or simply navigate directly to boardcast.app/your-session-name.

Tip: The status bar at the bottom of every whiteboard shows your connection status, how many people are connected, and how many characters are in the session.

Random session โ€” Free, Pro & Team

Click "Generate Session" for a random, unguessable session code. Ideal for one-off transfers or when you don't need a memorable URL. Free sessions live in memory and expire after 2 hours of inactivity.

Named session โ€” Pro & Team

Choose your own URL from your account page. Your session becomes boardcast.app/your-chosen-name โ€” saved to your account, persistent, and accessible any time. Great for recurring use like team standups or project notes.

Join by phrase

On the home page, switch to the "Join a session" tab and enter a session name. You'll be taken straight to that board โ€” no account needed to join.

Note: Anyone with the URL can join a session. For sensitive content, use password protection (Pro & Team) or choose an unguessable session name.

Boardcast uses magic links โ€” no password to remember. Enter your email on the login page and you'll receive a one-click sign-in link. The link is valid for 15 minutes.

You only need an account if you want persistent sessions, named URLs, or team features. Joining any session as a participant never requires an account.

Expiry: Session expiry resets every time the session is used. A Pro session accessed today will stay alive for another 30 days from that point.

4 ยท Persistent sessions (Pro & Team)

Persistent sessions are saved to your account and survive server restarts. Your content is always there when you return.

Create a named session

From your account page, enter a name in the "Create a named session" box. The name becomes your URL โ€” e.g. entering team-notes creates boardcast.app/team-notes.

Share and use it

Share the URL with anyone. They don't need an account. Your session and its content are saved automatically every time it's edited.

Manage from your account

Your account page shows all your sessions with live connection counts, last activity, and expiry dates. Delete sessions you no longer need โ€” you have 24 hours to restore a deleted session before it's gone permanently.

5 ยท Password protection (Pro & Team)

Add a password when creating a named session to restrict who can join. Participants will be prompted to enter the password before connecting. You can set this when creating the session from your account page.

Note: The password protects read and write access equally โ€” anyone who knows it has full access. For highly sensitive content, treat the session URL + password as a single secret.

Training mode turns Boardcast into a live broadcast tool โ€” perfect for walkthroughs, demos, and workshops where a trainer controls the content and participants follow along.

Read-only for participants

Set the session to read-only when creating it, or toggle it live during a session. Participants see a padlock icon in their status bar showing the current state. You, as the trainer, can always edit.

Participant names

When creating the session, choose whether names are Off, Optional, or Required. When set, participants are prompted for their name before joining. The trainer sees all names in the trainer panel.

Per-participant control

The trainer panel shows each connected participant with their own read-only toggle. Lock or unlock individual participants at any point during the session โ€” useful for guided exercises.

Lock all / Unlock all

Use the "Lock all" button to instantly lock every participant in one click. Toggle it again to release everyone. Individual overrides still apply after a global lock.

Set up the session

From your account page, create a named session. Under "Team options", tick "Start as read-only" if you want participants locked from the moment they connect, and set participant names to Off, Optional, or Required.

Share the URL and start

Share the session URL with participants. They'll be prompted for their name (if configured) and then dropped straight into the session. You'll see them appear in the trainer panel as they join.

Control during the session

Use the trainer panel bar at the top of your whiteboard to lock/unlock participants individually or all at once. Participants see the padlock icon update in real time when you toggle their access.

Trainer tip: Start with read-only on, run through your material, then unlock participants when you want them to contribute or complete an exercise. Re-lock when you're presenting again.

7 ยท Managing your sessions

Your account page gives you a full view of all your sessions. For each session you can see the URL, when it was last used, how many people are currently connected (updates every 15 seconds), and when it will expire.

Deleting a session

Click the delete button on any session. A 5-second undo toast appears immediately โ€” click it to cancel. Deleted sessions are listed below your active sessions for 24 hours, after which they're permanently removed.

Restoring a session

Deleted sessions appear in the "Recently deleted" section of your account page for 24 hours. Click Restore to bring one back โ€” its content is fully preserved.

Managing your subscription

Click "Manage subscription" on your account page to access the billing portal โ€” update payment details, switch between monthly and annual, or cancel. Changes take effect at the end of the current billing period.

Copies the session URL to your clipboard. Keyboard shortcut: Ctrl+Shift+C.

Copies all content in the whiteboard to your local clipboard in a single click.

Clear

Clears all content for everyone in the session. A confirmation prompt appears before anything is deleted.

Light / Dark mode

Toggle between light and dark themes. Your preference is saved in your browser across sessions.

The status bar below the toolbar shows: connection state, a sync indicator when content is saving, a padlock icon (training sessions), the connection count vs. limit, and the character count of current content.

10 ยท FAQ

Do I need an account to join a session?

No. Anyone with the session URL can join without an account. You only need an account if you want to create persistent or named sessions.

How long does a session last?

Free sessions (and sessions created without an account) expire after 2 hours of inactivity and are not saved. Pro sessions are kept for 30 days from last use. Team sessions are kept for 90 days. The clock resets every time the session is opened or edited.

Is my data stored?

Free session content is held in server memory only and is never written to disk. Pro and Team session content is saved to an encrypted database so it persists between visits. See our Privacy Policy for full details.

How many people can join a session?

It depends on the plan of whoever created the session: Free sessions allow 2 connections, Pro allows 3, and Team allows 10. When the limit is reached, new connections are refused until someone disconnects.

Can I share images or files?

Not in the current version โ€” Boardcast is text-only for now. File and image sharing is on the roadmap for a future update.

Is Boardcast secure?

All traffic is encrypted over HTTPS/WSS. Session URLs are the primary access control โ€” anyone with the URL can join. For additional security, use password protection (Pro & Team) and choose unguessable session names. Do not use Boardcast for highly sensitive or personal information.

How does the magic link login work?

Enter your email address on the login page. We send you a secure one-click link that signs you in immediately โ€” no password required. The link expires after 15 minutes and can only be used once.

What happens if I cancel my subscription?

Your plan stays active until the end of the current billing period. After that, your account reverts to Free tier. Named sessions are not deleted immediately, but will eventually expire under Free rules if not accessed.

Can training mode be used on any session type?

Training mode is available on named sessions created by Team plan members only. The read-only toggle and participant name options appear when creating a session from your account page on a Team plan.
